WHO WE’RE LOOKING FOR:
We are looking for a Marketing Project Coordinator to play an integral role in keeping the flow of marketing projects. By helping to eliminate roadblocks and assisting the Chief Marketing Officer (CMO) with follow-up and follow-through, the Marketing Project Coordinator provides the necessary support and helps to ensure that each project is delivered on time, within budget, and with the stellar quality for which DK Global is known.

JOB RESPONSIBILITIES:
Project Coordination
- Download, set up, and maintain digital files and folder structures for marketing projects upon instruction from CMO.
- Follow up with clients and project stakeholders on requested feedback, interview dates, and approvals (via phone and email).
- Liaise with project team members to ensure tasks are completed on time and according to specifications.
- Create and email RFQs and ICA’s for contract work on projects.
- Participate in weekly forecasting meetings.
- Update the forecast daily (when requested by the CMO).
- Attend and participate in semiweekly marketing team huddles (take notes when necessary).
- Add phone call and/or meeting notes into project communication logs.
- Schedule pre-kickoff, kickoff, and milestone meetings for each project.
- Schedule meetings and interviews when directed by CMO.
- Take meeting notes and upload to project management platform (e.g., adding project updates, next steps, and progress daily/weekly).
- Review projects for milestone meetings daily/weekly, notify the CMO of updates, and record changes to project schedules and timelines.
- Create purchase requests for project assets.
- Time track for POs on projects.
- Add client/stakeholder feedback into project management platform from meetings and emails.
- Review projects’ close out procedures are being followed on all projects.
- Review and communicate time tracking errors to the CMO daily.
- Assist CMO in any other tasks as necessary.
- Maintain regular content calendar of eblasts, social media posts, and event activations
- Negotiate prices with freelancers, including videographers, video editors, copywriters, and graphic designers
- Ensure timely execution of project deliverables by in-house team, freelancers, and third-party vendors ensuring they are within scope, and within budget.
- Manage and allocate resources effectively to ensure all projects have the necessary support and materials, partnering with CMO when applicable.
- Additional duties and responsibilities as assigned.
Marketing Execution
- Alongside CMO, other marketing team members, and stakeholders, check creative drafts for accuracy and quality against project scope and creative standards, as well as spelling, grammar, and render quality.
- Contribute and coordinate edits to marketing copy drafts
- Aggregate, contribute, and communicate feedback and direction to in-house creative team and freelancers, including videography, video editing drafts, copy, and graphic design drafts.
- Oversee timely completion and execution of marketing projects. Monitor and report on the effectiveness of marketing projects, using data to inform future strategies and improvements.
- Identify potential risks and develop strategies to address them proactively.
REQUIREMENTS AND QUALIFICATIONS:
- Bachelors degree strongly preferred
- Strong problem-solving skills and creative thinking capabilities
- Ability to swiftly respond to a large number of demanding situations and switch gears quickly
- Ability to prioritize and multi-task in a fast-paced environment with minimal supervision
- Exceptional verbal and written communication skills to effectively interact with all levels of management, staff, clients, and departments
- 2 years of experience in a marketing role
- Outstanding interpersonal and organizational skills and attention to detail
- Excellent computer skills including proficiency with Microsoft Office
- Understanding of Waterfall and Agile project management frameworks a huge plus

Job Type: Full-time
Schedule: 40+ hours per week
Compensation Range: $26 - $33 an hour depending on experience (This position is paid on an hourly basis and is eligible for overtime.)
